1. Organisation identity
This Privacy Policy describes how AI Money Matrix Pte. Ltd. (UEN 202473518D), located at 12 Marina View, #22-01 Asia Square Tower 2, Singapore 018961, collects, uses, discloses and protects personal data when you visit aimoneymatrix.one, submit enquiries, enrol in courses or interact with our academy services. For privacy-specific enquiries contact [email protected]. We are a vocational training provider in the Singapore market, not a licensed financial institution.
2. Personal data we collect
We may collect: (a) identity and contact data — name, email, phone, organisation, job title; (b) enquiry and enrolment data — messages, course preferences, billing references, dietary or accessibility notes you volunteer; (c) technical data — IP address, browser type, device information, referring URL via cookies where consented; (d) attendance and progress data — participation records, assignment submissions, capstone presentation notes within courses; (e) communication records — email correspondence, support tickets and call notes; (f) payment metadata — transaction references processed by third-party gateways (we do not store full card numbers). We do not collect NRIC, passport numbers or financial account credentials through this website.
3. Purposes of collection
Personal data is collected to: respond to curriculum, prospectus and corporate training enquiries; process enrolments, issue invoices and participation certificates; administer live cohort, self-paced and weekend intensive modules; deliver corporate AI finance training at client sites; maintain attendance registers required for vocational training records; comply with ACRA, tax and regulatory obligations; improve our website, course materials and facilitator guides; send service communications you reasonably expect (schedule changes, venue directions); conduct optional satisfaction surveys; and, where you opt in, share academy news and alumni events. We do not use your data to provide investment advice, sell data to unrelated third-party marketers or build credit profiles.
4. Legal bases and consent
Under the Personal Data Protection Act 2012 (PDPA) of Singapore, we rely on: (a) consent — enquiry forms, marketing cookies, optional newsletters, photography at public capstone events where announced; (b) contractual necessity — enrolment administration, payment reconciliation and certificate issuance; (c) legitimate interests — site security, fraud prevention, aggregated analytics where balanced against your rights, internal quality improvement from anonymised feedback; (d) legal obligation — record-keeping required by ACRA, IRAS and responding to valid legal process. You may withdraw consent for optional processing by contacting us, subject to ongoing legal or contractual requirements that require continued retention.
5. Disclosure to third parties
We may share personal data with: (a) email, hosting and cloud storage providers under confidentiality and PDPA-compliant agreements; (b) payment processors if you enrol in a paid module — they receive billing details directly; (c) professional advisers (legal, accounting) bound by duty of confidentiality; (d) venue partners when you attend off-site corporate workshops — limited to name and organisation for access lists; (e) regulators, courts or law enforcement when required by Singapore law. We do not sell personal data. Cross-border transfers, if any, are protected by contractual clauses and due diligence consistent with PDPA requirements. Before transferring data overseas we assess recipient countries and safeguards.
6. Retention
Enquiry records: up to twenty-four months unless an enrolment relationship continues or you request earlier deletion subject to legal limits. Enrolment, attendance and payment records: seven years for business, tax and dispute purposes. Marketing consents: until withdrawn or six months of inactivity on marketing channels, whichever is sooner. Cookie preferences: six months as stated in our Cookie Policy. Server and security logs: up to ninety days unless needed for incident investigation. Capstone materials you submit may be retained in anonymised form for facilitator training unless you request deletion after course completion. When retention expires, data is securely deleted or irreversibly anonymised.
7. Your rights under PDPA
You may request access to and correction of your personal data held by us. Submit requests to [email protected] with sufficient identity verification. We respond within thirty days where possible and may charge a reasonable fee for manifestly unfounded or excessive requests. You may withdraw consent for optional processing — marketing emails, analytics cookies — without affecting core enrolment services you have already contracted. 9. Security measures
We implement administrative, technical and physical safeguards including role-based access controls, encrypted connections (HTTPS/TLS), password policies for internal systems, staff training on PDPA compliance, confidentiality agreements with facilitators and vendor due diligence questionnaires. Our Marina View office restricts physical access to enrolment records. We review security practices at least annually. No method of transmission or storage is completely secure; please use strong unique passwords for any learner portal accounts we provide and notify us promptly of suspected unauthorised access.
10. Children
Our courses are intended for adults and working professionals aged eighteen and above. We do not knowingly collect personal data from individuals under eighteen without verifiable parental or guardian consent. If you believe we have inadvertently collected a minor's data, contact us for prompt deletion.
11. AI tool usage in courses
Course exercises may involve entering sample or anonymised data into third-party AI tools (ChatGPT, Copilot, Claude) under your own accounts. We instruct learners not to submit sensitive personal data, NRIC numbers, live financial credentials or third-party personal data without consent to AI platforms. You remain responsible for compliance with those platforms' terms and for any outputs you choose to rely upon. Facilitators demonstrate AI accuracy checks and encourage local storage of verified results rather than leaving sensitive drafts in cloud chat histories.
12. Marketing communications
With your explicit opt-in consent, we may send occasional emails about new cohort dates, module updates or alumni events. Every marketing email includes an unsubscribe link processed within ten business days. We do not purchase third-party mailing lists or share your email with unrelated advertisers. Marketing consent is separate from enquiry consent and may be withdrawn at any time without affecting transactional enrolment messages you need to receive.
13. Data breach notification
If a personal data breach likely to result in significant harm occurs, we will notify the PDPC and affected individuals as required by PDPA. We maintain an internal incident response procedure and review it annually. Report suspected security issues to [email protected] immediately.
14. Automated decision-making
We do not use automated decision-making or profiling that produces legal or similarly significant effects on individuals. Course progress reminders are rule-based service messages, not automated eligibility decisions.
15. Links to other websites
Our site may link to AI tool providers, PDPC resources or partner venues. We are not responsible for the privacy practices of external sites. Review their policies before submitting personal data elsewhere.
